archiving projects and audio files. Labelling? Dating? Format?


HI, 
  Its Easter week and for some reason I am always doing my spring cleaning, organizing of computer hardware and procedures.  I have various hard drives of various sizes from moving up through computers over the years. I want to reduce and simplify it all. 
    So I wanted to hear what some of you organized guys do.   The link at the bottom of this post is a song to which I can't find the audio and the project files.  One of my big mistakes is failing to use "project info..." in a detailed fashion so that when I go back to the project I know which piece of gear produced the reverb and which setting etc.  If I can't find the project file it doesn't matter anyway.  I think I found the audio file, but not the project file. 

     Sometimes I make a template titled AAA for instance that, when I open a project from the AAA template it has the first three tracks armed to record.  These three tracks include 1) the keyboard I'm playing, 2)one of the mics hanging over my head at the keyboard and 3) another keyboard via midi that might ad strings, synth, or in the case of the song at the end of this post its the guitar.  So when I open the AAA template I'm ready to record a little live solo jam that can sound like a whole band or so.

  Then when I save it I usually have AAAMarch242013 Ave Maria paul. The title puts it at the front of the project list in alphabetical order and I know when I was working on it, and I know the song. 
   
   Is there a better way?   In this case they're not going to really listed in order of the date I worked on them, because April comes before March.  I suppose if I go 03242013 they would be in actual order of date I worked on them. 03 for March.  Then where are these files going?  the Project files and the Audio files.  I don't want to hunt them down. I have a folder called Music. It has folders within it that refer to each piece of gear if I saved a PDF manual, or some download system updates or other peoples patches for instance on some of the keyboards or the TCHelicon reverb unit.  
  So I suppose its late to start all this because I lost a lot of project files and Audio files and they way they get named when Sonar saves them requires a little bit of de-coding to figure out which song they came from.
  
   On the last point.. I have various sizes of hard drives that were used in various computers.   my recent solution has been to buy 4x1.5 TB hard drives and then have an original and a clone of everything, so if I have a technical or God forbid a virus problem, I can just snap the clone in and I don't even notice I switched out hard drives.  But I would like to be able to take my recording work periodically and copy it from the Parent drive to the Clone drive so I'm up to date on the projects. Ideally I would like to find everything in the MUSIC folder. 

  Ok thanks if anybody can see i'm complicating something that is simpler than this, or if you have any good ideas or procedures you have been using that kept you from losing your work. thanks a lot. Happy Easter,

    The best way to keep the projects together for backup is to use Per Project Folders. That way all of the files for one project are in a single folder. 

    If you want to put a date on the filename, I recommend yyyymmdd format, i.e., 20130324. That way they'll sort in date order.

    My storage method is pretty simple. 

    I have a global overall folder for Sonar and then sub folders for keeping tabs on my stuff. 

    Sonar 64 bit = contains everything 
    Sub folders for each recording session or client album
    In the session folder a folder for each song
    In each song folder everything to do with that song including the versions, audio folder, midi files, lyrics, track sheets,. 
    There might be a sub folder in there where I put archived versions of the song. 

    Then these folders are backed up to both an internal and external drive. 
    I date these folders on the back ups.
